How to configure SPF records to avoid SPF failure issue with outlook email setup in Service Desk.

1 Why SPF ?

         Sender Policy Framework (SPF) is a simple email-validation system designed to detect email spoofing by providing a mechanism to allow sending mail exchangers to check that sending mail from a domain comes from a host authorized by that domain's administrators. The list of authorized sending hosts for a domain is published in the Domain Name System (DNS) records for that domain in the form of a specially formatted TXT record. It authenticates a sender’s identity by comparing the sending mail server’s IP address to the list of authorized sending IP addresses published by the sender in the DNS record. Email spam and phishing often use forged "from" addresses, so publishing and checking SPF records can be considered anti-spam techniques.So, based on your issue you are in the need of adding SPF records in your domain.


2 Steps to be followed to Generate SPF record :

  • Go to the DNS Management page in you domain.

 

  • Under Record Section, You will be available to create records as some of default records has created.

 

  • Click Add at the Record section, to add new record. You should give following details :
                      Type             :   It should be Text, So select  "TXT"
                      Host              :  Enter the host name for the TXT record. For example, type "@" to map the record directly to your domain name, or enter the subdomain of your host name (labeled Host), such as www or ftp.
                      TXT value     :  v=spf1 ip4:34.251.73.164 ip4:23.236.135.67 include:spf.protection.outlook.com -all. Here change the "ip4 and include" value as per your domain.
                      TTL               :  Select how long the server should cache the information

 

  • Using above mentioned SPF records, your domain records should be updated.

 

  • If you are using GoDaddy Domain then refer the following guide to update SPF records. If not Kindly please refer the guide regarding adding SPF records by their domain suppliers.
